How to plan a shoot day
A shot list tells the camera team what to capture. A call sheet tells everyone where to be and when. Most smooth shoot days have both.
- Write the shot list from the edit backwards. Think about the finished video, then list every shot the editor will need, including b-roll and cutaways.
- Group shots by location. Moving lights and gear takes longer than filming. Shoot everything in one space before you move on.
- Mark the must-have shots. If the day runs late, the crew knows which shots to protect and which to drop.
- Set a call time with buffer. Call the crew 30 to 60 minutes before the first shot so setup does not eat into talent time.
- Put access details on the sheet. Parking, building entry and a contact on site save the first hour of the day.
- Send it the day before. Share the final call sheet at least 24 hours ahead so everyone can plan travel.
Questions about shot lists and call sheets
What is a shot list?
A shot list is a numbered list of every shot to capture on a shoot, with the shot type, what the camera sees, the location and any notes. It keeps the crew focused and makes sure the editor gets every shot the video needs.
What goes on a call sheet?
A call sheet covers the production name, date, location, parking, call and wrap times, the crew and talent with phone numbers, the schedule for the day and safety details such as an emergency contact and the nearest hospital.
Is this shot list template free?
Yes. The generator is free to use with no sign up. Your details and logo stay in your browser and are never sent to SoCreative.
Who should get the call sheet?
Everyone on set: crew, talent, the client contact and anyone meeting the team at the location. Send it at least a day before the shoot.
